Job Description:
Are you interested in developing new business models and legal policies for Canadian nonprofits? Are you passionate about advancing social justice, equity, diversity, and inclusion in the arts? Do you want to strengthen the arts sector, and improve the financial security and well-being of artists and arts professionals?
JAYU is looking for an Event Liability and Insurance Research Coordinator to support its Strategic Initiatives Research Project. The person in this role will be responsible for researching fundamental legal needs of Canadian nonprofits looking to develop their space into a venue rental social enterprise. Using JAYU as a case study, this person will help develop an overview of all of the nitty-gritty involved in offering space to the public. This will include legal policies, procedures, and contracts. They will develop this knowledge into a resource guide for other community arts organizations with space to rent out to local artists and networks.
The goal of the Strategic Initiatives Project is to create nation-wide access to much-needed space for equity-deserving youth to practice their art, build financial security, and foster valuable networks and community connections while safeguarding and building JAYU’s resiliency and financial sustainability.
Scope of Work:
The Research Project Coordinator will serve throughout the duration of the 2025 Strategic Initiatives Research Project. The deliverables and timeline for this contract are as follows:
Research the legal obligations under the Accessibility for Ontarians with Disabilities Act (AODA), with a focus on ensuring our programming and space are as accessible as possibleIdentify and research low-cost event insurance options, including recommendations on best coverage options for events held at our venue.
Investigate permits required for events (e.g., food handling, SOPs, live performance permits like dance) and provide cost estimates and requirements.
Research general legal liability policies and procedures for community arts spaces acting as event venues, including safety processes such as evacuation plans, fire procedures, and medical emergencies.
Research other venues’ pricing, point of sales, and if possible, accounting practices, bookkeeping, invoicing, and HST.
Provide recommendations for marketing and outreach, including any legal requirements for promotions and event advertisements.
Phase 1: Research, Consultation, Exploration (Mar-May 2025) - 30%
Research security requirements for opening space to community
Research costing models to ensure both revenue generation alongside accessible payment options for artists/arts organizations
Consult lawyers regarding liabilities and feasibility
Phase 2: Develop Policies, and Frameworks (Jun-Sep 2025) - 35%
Create policies for the use of space with actionable recommendations for JAYU and other community arts organizations
Create safety and security policies to support space-sharing and accessibility considerations
Consult with Executive Director and lawyer to develop contract and waiver templates that can be shared with other arts organizations
Present materials to the JAYU leadership for approval
Phase 3: Communications Campaign & Knowledge Mobilization (Oct-Dec 2025) - 20%
Work with JAYU Marketing and Communications Manager to build a guide of recommendations for Canadian nonprofit spaces
Engage graphic designer to create presentational, shareable PDFs
Promote policies and recommendations for space sharing to networks of community arts nonprofits in major cities throughout Canada, including Vancouver, Calgary, Edmonton, Ottawa, Montreal, Moncton, and Halifax
Invite other organizations in these cities to share the guide widely to extend the impact of this project
Phase 4: Impact Assessment (Nov-Dec 2025) - 15%
Collect responses from arts nonprofits to be compiled into a final report for the Canada Council for the Arts

What is Needed:
A background in pre-law, events/business management, or equivalent experience in legal research within the nonprofit, arts, or event sectors.
Excellent written and verbal communication skills with the ability to summarize complex legal information for non-legal audiences.
A people person with strong organization skills, able to connect with a variety of individuals and stakeholders.
Able to identify gaps with an eye for developing long-term solutions that factor in organizational needs.
Adaptable and understanding of the needs of a growing organization. Open to thinking proactively and working towards finding solutions to big challenges.
Comfortable working in a hybrid work environment, and able to attend in-person events as needed throughout the year.
Enjoys working in a busy environment and being able to juggle multiple tasks concurrently.
Enthusiasm and commitment to equity, the arts, and working with and in diverse communities.
Be based in the GTA with access to a personal laptop and high-speed internet.
Nice to Have:
Strong understanding of legal obligations related to accessibility, event safety, and general liability.
Experience in email marketing outreach and campaign management.
Experience with survey building, collection, tracking and reporting.
Demonstrated interest or experience in the arts - all kinds.
A connection to arts and culture in the city or an artistic practice.
Demonstrated interest or experience in human rights, social justice, community-engaged work, and working with diverse communities.
What Can Be Learned:
JAYU uses Google Workspace, Basecamp, Mailchimp, Keela, Canva, Squarespace and Adobe Suite, but you don’t need to have experience on these specific platforms.
Understanding and knowledge of JAYU’s programs, values, mission, and working culture.
Additional Employee Information
Hours: Monday to Thursday, from 24 to 32 hours per week. Hours may be flexed so that contractor can attend after-hours special events including iAM Programs and funder recognition events as needed.
Work base: Blended work from home and in-person at JAYU studio including mandatory in-person days at the JAYU Studio every Wednesday. On occasion, employees will need to attend off-site events.
